Supplier Integration

Supplier Integration is a guided experience that helps suppliers connect their ERP or business systems to SAP Business Network so they can exchange documents with buyers through automated, system-to-system transactions.

As Lead Product Designer, I helped define a clearer integration journey across setup, profile questions, compatibility checks, template reconciliation, technical validation, and go-live readiness.

Problem

The integration process had too many disconnected steps. Profile setup, compatibility checks, template reconciliation, and technical validation lived across different parts of the journey.

Users needed clearer guidance, fewer errors, and better visibility into what had to be completed before going live.

Buyers also needed confidence that supplier-submitted documents would be compatible with their procurement system configuration and business rules.

Our Users

The primary users were suppliers and supplier integration teams setting up system connectivity with buyers.

Secondary users included buyers, who depended on suppliers connecting correctly so transaction documents could flow smoothly.

My Role

I worked as Lead Product Designer. I helped define the user flow, simplify onboarding, map buyer and supplier responsibilities, and create a clearer experience for configuring plans, inviting vendors, assigning tasks, and tracking progress.

The Approach

I reframed the integration process as a guided journey instead of a set of disconnected technical tasks.

The redesigned journey focused on:
-Setup and profile questions.
-Compatibility checks.
-Template reconciliation.
-Technical validation.
-Go-live readiness.

Three UX principles guided the work:
-Clarity: Make technical steps easier to understand without removing important details.
-Progress visibility: Show what is complete, what needs attention, and what is blocking the user.
-Error prevention: Surface compatibility gaps and template issues earlier, before they become integration failures.

Solution

The solution created a more structured path for suppliers to complete integration requirements and understand what needed attention. Instead of discovering issues late in the process, users could see setup gaps, validation needs, and readiness indicators earlier.

For buyers, the experience created a more reliable path to supplier connectivity and reduced the risk of document issues caused by incomplete setup or failed validation.

Impact

The project helped establish a more scalable and user-friendly integration experience inside SAP Business Network.

For suppliers, it created clearer setup, better guidance, fewer surprises, and a smoother path to transaction readiness. For buyers, it supported more reliable supplier connections and fewer document issues.

For SAP, it created a stronger foundation for high-volume supplier integration across cXML, EDI, and other electronic document flows.
